What This Policy Covers. This policy covers the ways in which Gender Spectrum treats information, including personally identifiable information, that we obtain when you visit our websites, use our Service, or otherwise provide information to us online. With your express consent, we may make uses or disclosures of your information that go beyond the scope of this policy. We regard “personally identifiable information” as information that someone can use to identify or contact you in person, such as your real name, telephone number, email address, or physical mailing address. Information that we use internally to identify you as a registered user of our system (e.g., your User ID) is not considered personally identifiable information.
What This Policy Does Not Cover. This policy does not cover the privacy practices of third parties, such as the practices of third-party service providers, social media services, payment processors, partners or advertisers. Our websites and Service may contain links to other services or websites that may interest you. All of these websites operate independently of the Service and each has its own privacy and security practices and policies. External links do not fall under the www.genderspectrum.org domain and Gender Spectrum is not responsible for the privacy practices or the content of external websites. Your use of any linked website is solely at your own risk.
Consent to Collection and Processing in the United States. By using the Service, you consent to having your information, including personally identifiable information, transferred to, stored and/or processed in the United States and any other jurisdiction(s) in which our third party service providers may store or process information.
HOW WE COLLECT INFORMATION
Information You Provide
Registration Information. When you create an account,register for online groups, events, workshops or other services, subscribe to our newsletter, request information via our online form, or fill out other forms on our website, we require that you provide us with an email address, your real name, and if you are the parent or guardian of a minor, your minor child or ward’s email address and real name. We may require a minor child’s birth month and year to verify their eligibility for certain services. We may also require or request information to assist us in best providing you with pertinent information and services. For example, we may ask if you are a parent or guardian in order to provide you with parenting information and services; we may ask for your professional area in order to provide information and services relevant to your field.
Information You Provide When You Purchase Products or Services. Gender Spectrum may make certain products or services available, including online and/or in-person training programs. We collect the information you provide in connection with those programs, except as otherwise specified herein.
Information Submitted to Our Forums, Websites, Private Messaging, Etc. We make certain forums, as well as chat and private messaging features, available to registered users to help enable discussion on a wide variety of topics related to gender identity and to other topics that we believe may be of interest to our visitors and registered users. Because information you disclose in these areas is or may become broadly accessible to others, you should exercise caution when deciding to disclose any information on the forums.
Email and other communications. We collect information via email or other communications you may send to us.
Other Information We Collect
Log Files and Analytics. Similar to many websites and internet services, we gather certain information automatically and store it in log files. This information may include your web request, Internet Protocol (“IP”) address information, unique device identifier (e.g., UDID, MAC Address, etc.), browser type, referring / exit pages and URLs, number of clicks, domain names, landing pages, pages viewed, and other such information. We may analyze such data using our own analytics, Google Analytics, or other similar third-party services. We use these log files and analytics to improve and administer our site, to analyze trends, and to gather information about our user base.
Pixels, aka Web Beacons. We may employ pixels, aka web beacons, which are small blocks of code that do things like allow us or another service to measure viewing of a webpage and to track the online usage patterns of our visitors and registered users. In addition, we may also use pixels or web beacons in HTML-based emails we send, to help us track which emails are opened by recipients. This information is used to enable more accurate reporting, improve the effectiveness of our marketing, and make the Service better for our visitors and registered users. We may ask advertisers or other partners to serve ads or services to computers, mobile phones, or other devices, which may use a cookie, pixel, or other similar technology placed by us or the third party.
Cookies. A cookie is a small text file that is stored on your computer for record-keeping purposes. It can also help us understand how you click to our site, what pages you view during your visit, and your account and preference information as a registered user of the Service. Cookies also allow us to track and understand the interests of our visitors and registered users, to help us enhance the overall experience on our site.

Do Not Track. The Service does not respond to “do not track” signals sent from browsers.
HOW WE USE INFORMATION
To Provide You With The Service
We use your information, including personally identifiable information, for the purpose of providing you with the Service.
In Gender Spectrum Communications
We use email and/or prominent notifications on our website and/or social media accounts as our primary means to inform our users of important Service and promotional announcements.
Service-Related Announcements. When you establish an account through the Service, we use the email address provided during account creation to deliver important Service-related announcements to you. Examples of Service-related announcements include: email verification during registration, requests for password reset, important security or server maintenance updates, upgrades, and new releases, or policy changes. These Service-related announcements are considered a fundamental part the Gender Spectrum Service, and registered users cannot opt out of these email announcements.
Promotional Announcements to Our Users. For various promotional purposes, including soliciting donations, we may from time to time send you email or other communications. These communications are enhancements to our service and are entirely optional. We will make it easy for you to unsubscribe from these communications, for example via a link in the footer of each promotional email you receive.
For Internal Reporting and Analysis
As noted above, we use information gathered from log files, cookies, and the like to improve our site, analyze trends, administer the site, track users' movements around the site, and to gather aggregate information about our user base as a whole.
For Internal and External Training, Promotional, Other Purposes
We use information we collect – including survey responses, postings to the Lounge, demographic information, and other non-personally-identifiable information – to improve our Service and other programs offered by Gender Spectrum, in training programs (including training programs we offer for sale), in connection with grant applications, and for a variety of promotional purposes.
In Combination with Other Information
Gender Spectrum may combine information it collects pursuant to this policy, including personally identifiable information, with other information it may have about you from other sources. For example, if you make a donation to Gender Spectrum by mail, information about your donation, including your name, address and donation amount, may be combined or associated with other data about you, such as your account information, or whether you attended a training or conference. This allows us to improve our products, services, content, communications, and/or advertising.
HOW WE SHARE AND DISCLOSE INFORMATION
To Provide You with the Service
We share your information in connection with providing you the Service. For example, if you leave a post on our forums, it will be displayed to readers of that forum.
Trainers and facilitators. We may provide trainers and discussion facilitators with information about attendees. For example, in our teen and pre-teen discussion groups, sign-up is via a form, and the information provided on that form may be provided to facilitators.
We Do Not Rent or Sell Your Information. We will neither rent nor sell your personally identifiable information to third parties.
We May Share Non-Personal Information With Third Parties. Occasionally we share anonymized, non-personal, and/or aggregate information about our visitors and registered users, including forum postings, with partners or advertisers, for internal and external training purposes (including training programs that we may offer for sale), or for promotional purposes. We may publish certain anonymized, non-personal, aggregate usage statistics on our website for the interest of our users.
Linked Services. In some cases, we allow you to access or link to other web services through our website, including for example social media services, news websites, and the like. In such cases, those sites may choose to collect your personal information as they deem appropriate. As noted above, we are not responsible for or in control of how third parties collect, use, or disclose your information obtained through these linked services. We encourage you to be aware when you are using these third party services and to review their policies before submitting any personal information to them.
Third Party Service Providers. We use other companies, agents, and/or contractors to perform services on our behalf or to assist us with providing the Service to you. For example, we may engage such service providers to provide marketing, advertising, communications, infrastructure and IT services, personalize and optimize our service, process payment transactions, provide customer service, collect debts, and analyze and enhance data. In the course of providing such services to us, these other companies may have access to your information.
As Necessary in Certain Legal Circumstances
Legal Requirements. We reserve the right to disclose your information, including your personally identifiable information, when we have a good faith belief that access, use, preservation, or disclosure of such information is necessary to (a) comply with any law, regulation, legal process, or enforceable governmental request; (b) enforce our Terms of Service, including investigation of potential violations of the Terms of Service; (c) detect, prevent, or otherwise address fraud or security or technical issues; or (d) protect against harm to the rights, property, or safety of Gender Spectrum, its users, or the public as required or permitted by law.
CA Shine The Light Law / Your California Privacy Rights
California Civil Code Section 1798.83, known as the “Shine the Light” law, permits our customers who are California residents to request and obtain from us a list of what personal information (if any) we may have disclosed to third parties for direct marketing purposes in the preceding calendar year, including the names and addresses of those third parties.Requests may be made only once a year and are free of charge. If you would like to make a request pursuant to California Civil Code Section 1798.83, you must do so in writing via email to info[at]genderspectrum.org, and include the phrase “Request for California Privacy Information” in the subject line and in the body of your message.
HOW WE KEEP INFORMATION SECURE
Security of Account Information. Your Member account is password protected. Please do not share your password with anyone, and remember to change your password from time to time, to keep your account secure.
Network Security. Gender Spectrum and its service providers employ a variety of encryption and security technologies and procedures to protect information, including your personally identifiable information, from unauthorized access. Please be aware that no method of transmission over the internet, or method of electronic storage, is 100% secure, thus we strive to use commercially acceptable means to protect your personally identifiable information, but we cannot guarantee its absolute security.
Forum postings and Other Public Postings. As discussed above, your forum and other public postings are available to other users of the site and are therefore not secured against disclosure by other site users who may read them. Please use caution in deciding what to post online.
Management Procedures. Gender Spectrum and its partners maintain physical and electronic procedural safeguards that limit access to your personally identifiable information and other data to employees (or people working on our behalf and under confidentiality agreements) who, through the course of standard business activities or provision of the Service, need to access your personally identifiable information or other data.
YOUR PERSONAL CHOICES
Receiving Communications. If you subscribe to any optional promotional communications, you will be able to unsubscribe from these communications via a link in the footer of each such email you receive.
Editing / Deleting Your Account Information. Any registered user who establishes a Gender Spectrum Service account can view the personally identifiable information that they have submitted in connection with their account. Such information is available at the registered user’s account page, where registered users can add, edit, or delete such personally identifiable information as they see fit. Although account information can be changed or deleted as described herein, the original information may nevertheless be retained in Gender Spectrum’s archives. To completely delete your account and accompanying personal information, please contact us at info[at]genderspectrum.org . Please be aware that deleting your personal information from your registered user account page or deleting your account will not result in the deletion of your prior forum postings.
We may change or amend this Agreement from time to time. If we make material changes, we will notify you in advance either through the user interface, in an email notification, or through other reasonable means. Your use of the Service after the date such changes become effective will constitute your consent to the changed policy. If you do not agree to the changes, you must immediately stop using the Service; otherwise, the new policy will apply to you.
